Vision Statement of the Convention Planning Committee
As Christian teachers forming the CPC we strive to help the community of Christian educators
grow in their ability to integrate faith and learning. We are committed to honoring Jesus Christ and serving others. In so doing, we provide professional development opportunities
that promote a future where God’s kingdom is recognized
through us and our students in creation and culture.

Convention Planning Committee (CPC) Mandate:
This committee is responsible for planning and organizing the annual convention. This committee consists of eight members, four from Canada and four from the USA. The four Canadian committee members are appointed by the CTABC board. To ensure continuity and communication with the CTABC board the executive director is also a member of this committee ex officio.
CTABC members shall be appointed by the board, serve a three to four year term and shall leave the committee on a rotating basis.
NWCSI members shall be appointed by the executive board, serve a three to four year term, and shall leave the committee on a rotating basis.
Committee vacancies (including those who leave before their term expires) are filled by respective executive board appointees...
All expenses incurred by committee members (substitute’s costs, travel, meals, lodging) shall be borne by the CPC.
Mission Statement
The purpose of the NWCSI-CTABC Convention is to provide Christian school teachers with opportunities for spiritual and professional growth, both personally and communally. Annually, the convention will include:
a. educational leaders providing presentations and workshops in various disciplines and on relevant themes and issues
b. opportunities for collegial interaction
c. avenues for encouraging fellowship and building community.
The convention aims to focus our vision, strengthen our commitment and clarify our task, thereby enabling us to become better equipped to serve our Lord, our students, our colleagues, and our communities.
Duties of CPC Officers
Chairperson
- prepares agendas for each meeting
- chairs each meeting
- keeps in contact with other committee members to ensure adequate planning
- corresponds with keynote speakers for the coming convention, as well as for the next convention
- arranges liaison person from the host school who will be responsible for all local arrangements
Recording Secretary
- records minutes at each meeting
- sends copies of the minutes to each committee member
- sends copies of the minutes to the CTABC executive director and the NWCSI district coordinator, who will give a report to their respective boards
Corresponding Secretary (need not be a committee member)
- handles all correspondence with workshop leaders
- updates computer list for workshop leaders, contact addresses, and workshop information
Treasurer
The committee shall appoint two treasurers, one from CTABC and one from NWCSI.
- receives all registration materials and monies from their respective countries
- shall maintain a bank account, using the funds received from his/her respective country to pay the expenses, such as fees, workshop leaders, committee travel from their respective country
- is responsible for payment of facilities, accommodations, caterers, etc.
- deposits all cheques and pays all bills and keeps detailed records of all transactions
- reimburses the committee members for expenses based on submitted vouchers
- provides monthly reports to the planning committee, and to the other treasurer and registrar one week prior to each monthly meeting
- assists in the preparation of a combined financial report. The combined financial report should include a combined statement of income and expenses and a combined budget for the following year
- submits the combined financial report to the CTABC and NWCSI by January
Registrar
- receives registrations/emails
- keeps records of registrants’ names and whether they have paid the full registration fee
- sends out notices to registrants regarding amounts owing
- sends copies of detailed record sheets to NWCSI/CTABC treasurer one week prior to each month meeting
- forwards all cheques, bills and requests for refunds to respective treasurer (US/CDN) at the monthly meetings
- sends final copy of registrants per school to respective treasurer at the end of September for the production of convention badges, etc.
Host School Liaison
- is requested by the committee
- selected by the host school
- handles all local arrangements such as facilities, transportation for speakers, etc.
Financial Matters
Committee Expenses
- Expenses incurred by the committee members shall be paid for by the CPC (this includes meals, hotels, travel, etc.).
- Committee members shall be reimbursed for travel.
- CTABC members will be reimbursed at the rate set by the CTABC board.
- NWCSI members shall be reimbursed at the rate set by the NWCSI executive board.
- Convention fees are waived for committee members.
Convention Fees
- Convention fees should be calculated in the currency of both countries.
- Convention fees will be reviewed annually.
- Convention fees must be approved by the respective executive boards. In the event that the respective CTABC and NWCSI boards disagree on the fees, they should contact one another immediately.
- Full members and associate members pay the same fees.
- Honorary members’ registration fees will be waived. Meal, banquet, accommodation, and travel expenses are the responsibility of the individual.
- Both the NWCSI and the CTABC are entitled to invite up to a maximum of four special guests. CPC will waive all registration fees and meal costs. However, banquet fees, accommodation and travel expenses are the responsibility of the individual.
- The SCSBC coordinators are considered honourary members of the CTABC. Their registration fees and meal costs will be waived. Banquet, accommodation and travel expenses are the responsibility of each coordinator.
Workshop Fees
- Fees for workshops will be recommended by the planning committee, approved by the respective boards, and reviewed annually.
- Workshop leaders should be remunerated (with a note of thanks).
- A repeat workshop shall be honoured at 60% of the first workshop honorarium.
- In the event that organizations request to host a specific workshop at a CTABC convention that organization will assume responsibility for the costs incurred, unless other arrangements have been made in writing.
- In the event that the SCSBC coordinators present workshops no honorarium will be given unless the CPC requests that they deal with a specific topic.
- The CTABC will provide the SCSBC with two tables (free of charge) of display space at conventions and professional development days if requested by the SCSBC.
Late Registration
- A fee should be charged for late registration
- This fee should be reviewed annually and be approved by respective executive boards.
Refunds
- A fee should be charged for those requesting refunds.
- This fee should be reviewed annually and be approved by respective executive boards.
- A written request for a refund must be made by the teacher/principal within two weeks after the convention.
Paid Help
- Use paid help for typing, stuffing envelopes, etc., when necessary to facilitate work and meet deadlines.
Teacher Travel Expenses
- Travel expenses of teachers to and from the convention shall not be paid from convention funds.
Workshop Recommendations
- Divide the workshops as equally as possible among all grade levels, subject areas, general interest, etc.
- Provide enough workshops to adequately cover all areas.
- Have a balance of foundation or “theoretical” and methodology or “practical” workshops.
- Workshop lengths could be varied. Length should be determined by such factors as leader’s preference, teachers’ preference, topic, etc. Longer workshops could span two or more time slots.
- Provide qualified workshops leaders from within and outside our membership.
- Provide the keynote speaker a block of time after the keynote address for a question and answer session, if she or he so desires.
Schedule Recommendations
- The convention shall be two days.
- Friday’s session schedule will end at noon with a lunch following
- Time shall be provided for the CTABC Annual General Meeting.
